Every responder trained and ready.
TrainedResponder is the single system emergency management agencies and volunteer organizations use to deliver courses, run exams and practical evaluations, schedule drills and activations, and track every certification, credential, and rank — automatically, and audit-ready.
Purpose-built for CERT, SAR & ACS — and ready for police, fire & EMS.
Tools that it takes to create a trained, confident responder
From a member's first lesson to their next rank, the whole progression lives in one platform.
Courses & lessons
Build structured courses from sequenced lessons, deliver them online, and track every completion.
Exams & evaluations
Score exams by points or percentage, including image-based diagram questions, and record hands-on practical evaluations signed off by qualified evaluators.
Ratings & credentials
Define certifications with required courses and prerequisite ratings, then let the system award them the moment a member qualifies.
Ranks & advancement
Map ratings to ranks and watch members advance automatically as they earn the qualifications each rank requires.
Multi-unit organizations
Organize members into units and teams, with ratings that can span the units they belong to.
Your terminology
Rename units, members, and ranks to match how your agency speaks — custom profile fields included.
One platform, two kinds of readiness
Whether your responders are sworn professionals or community volunteers, the goal is the same: keep everyone trained, current, and ready to respond.
CERT · SAR · ACS & emergency management
Onboard new volunteers fast, keep your training program fully documented, and stay ready despite turnover.
- Self-paced online training for dispersed volunteers
- Clear progress toward each member's next rating
- An internal training record you can stand behind
Police · Fire · EMS
Run in-service and field training, track recertifications, and keep an audit-ready record for every responder on the roster.
- Structured progression with practical sign-offs
- Certification tracking tied to your internal training requirements
- Role-based access for command and training staff
Training is half the mission. Now run the other half.
Two new modules extend TrainedResponder beyond the classroom — into the drills you schedule and the credentials you're accountable for. Both feed the same qualification engine, so nothing gets tracked twice.
Scheduling & Operations
Schedule drills, trainings, and activations — take attendance once and have it count.
- Attendance that counts. Mark a member present at a drill and the linked course, rating, and rank credit automatically — no second data entry, no reconciliation.
- A shared event calendar with RSVP, open-slot staffing, and touchscreen kiosk check-in.
- Activation callouts by email and text — responders answer with one tap or a one-digit reply, tracked on a live dispatch board.
- Volunteer hours logged automatically and exported for grant reporting.
Credentials & Documents
Keep every member's certifications, licenses, and paperwork in one place — and know before they expire.
- Know before it lapses. Expiration reminders reach the member and your admins ahead of time — before the activation, not after.
- Licenses, certifications, medical clearances, and waivers stored against each member and verified by an admin.
- Require a current credential before a member earns a rating or rank.
- A compliance roster you can hand to an auditor — with CSV and PDF export.
Add either module to any plan, or take both.
Your SOP is already a course. It just isn't one yet.
The hardest part of standing up a training program is typing it all in. Upload the material you already have — an SOP, a policy chapter, a slide deck — and TrainedResponder drafts the course from it, so your subject-matter experts spend their time reviewing instead of transcribing.
Upload your material
Bring the PDFs, Word documents, and presentations your program already runs on. Nothing has to be rewritten first.
Approve the plan
You get objectives and a lesson outline to approve before any lesson is written — then lessons are drafted one at a time, each one citing the page it came from.
Review, edit, publish
Everything lands as a draft only you can see. Edit it, build exam questions from the finished lessons, and publish when your expert signs off.
- Nothing reaches a member without human approval. Generated courses are created as drafts and stay that way until a person publishes them.
- Grounded in your source, and cited. The model is instructed to restate your material, not to add outside knowledge — and every generated chapter points back to the document and page it came from.
- Your source material doesn't linger. Uploaded documents are deleted when the generation job ends; the citations and provenance record remain.
- Every draft records where it came from. Which model wrote it, from which documents, at whose request, and when.
What AI can't do
AI writes a first draft, not authoritative training content. Like any AI system, it can be wrong, leave things out, or misstate the very source it was given — and it can do so convincingly.
This is life-safety training, so the platform is built to assume that: drafts are never published automatically, and a qualified person reviews the content before a responder ever sees it. Your organization remains responsible for the accuracy of its training and for meeting the standards it answers to.
AI authoring is optional. Every plan includes a monthly allowance of generations.
Security and control your organization can trust
Your leadership and your members need confidence that data is protected and access is controlled. TrainedResponder is designed around those expectations from the ground up.
Encrypted and protected
Every connection is secured with HTTPS, and sensitive credentials are cryptographically hashed — your members' information stays protected in transit and at rest.
Role-based access control
Granular roles — from system and organization administrators down to unit admins and members — ensure people see only what their position allows.
Invitation-only accounts
There is no open public sign-up. Accounts are created by invitation from your administrators, keeping your roster controlled and accountable.
Complete, auditable records
Each completion, exam result, and evaluation is captured with its own history — giving you a defensible record of who was qualified, and when.
Spreadsheets and paper sign-offs don't hold up when it counts.
Most agencies track training across binders, inboxes, sign-in sheets, and a tangle of spreadsheets. Who is current? Who is ready to deploy? Which volunteers are one course away from their next rating? Whose license expires next month? The answers are slow to find — and hard to defend in an audit.
TrainedResponder replaces that with one authoritative system. Members complete training online, evaluators sign off in the field, attendance counts the moment it's taken, and qualifications and ranks advance automatically when every requirement is met.
